VIL greatly values the protection of your personal data. These are data that allow us to identify you as a natural person. Your personal data will always be protected by us in accordance with regulatory provisions.
This Privacy Statement explains what personal data we collect from you, whether directly or indirectly, and how VIL uses it. Personal data is any data that can be used to identify you or that we can link to you. The Statement also covers what choices you can make regarding the data we collect and how you can manage those decisions. This Statement applies to all websites under the control of VIL and to other offline contacts, for example when you attend a VIL event.This privacy statement has been created to communicate clearly regarding the processing of your personal data. VIL wants to be clear about the data that is collected and for what purposes.Please read this notice carefully so that you know how VIL may collect, use and share the personal data you provide.This database is not accessible to third parties, nor is it made available to third parties for a fee, with the exception of VLAIO which requests limited company data for co-financing and company grant verification purposes.


1) Responsible for processing your data

The responsible party for processing your data is VIL vzw, with registered office at De Burburestraat 6-8, 2000 Antwerp, company number 0480185038. VIL’s Data Protection Officers can be reached at privacy@vil.be .VIL, as controller, will take all appropriate technical and organisational measures to protect personal data against accidental or unauthorised destruction, against accidental loss and any unauthorised processing of personal data.

2) Personal data that will be processed

Data you provide to us

VIL collects data that you voluntarily provide us, such as your name, phone number, job function details and e-mail address; for example, when you sign up for our mailing list, for one of our events, order a report through our web shop or apply to make your company a member of VIL.

Data we automatically collect

When you visit our websites, online information is collected via cookies. This helps us to better understand visitors to our websites so that we can improve our websites for everyone.

Information we gather from other sources

VIL may also receive information about you through third parties. For example, when a colleague registers you for an event. VIL protects data we receive from third parties in the manner described in this Statement and we also apply any additional restrictions imposed by the data source.

Childrens’ data

VIL does not address or target children under sixteen. Although visitors of all ages can navigate our websites, no personal data of children under sixteen is collected or requested.

Special personal data

Under no circumstances does VIL collect special categories of personal data, such as data on race, political opinions, health, religious and other beliefs, sexual orientation, and the like.

To make the information in this Statement understandable, different moments have been highlighted, when VIL may potentially collect personal data. Interactions with VIL are divided into the following segments:

Membership

VIL membership is not aimed at individuals, only companies, associations or knowledge institutions can become members of VIL. If you wish to apply to make your company or organisation a member of VIL, please fill in the application form on our website.

VIL collects: company/organisation name, legal form, number of employees, billing details, activity, website, primary contact name, primary contact job title, primary contact email address, phone number.

Why:

VIL has two types of members: effective members and joined members. To determine your eligibility and type of membership, we need your company details. To keep the right person in your company informed, we ask for the contact details of a primary contact person in the company. If several employees in your company wish to be kept informed of our activities, you can provide us with their details via our website or via the e-mail address informatie@vil.be.

By becoming a member, you automatically consent to your company being included in the membership list on the website and in other promotional material.

Finding information about VIL

If you seek more information about VIL, you can visit any of our websites (www.vil.be, www.multimodaal.vlaanderen, www.vil-summit.be, www.logiville.be) call one of our staff members, physically visit one of our events or meet with one of our staff members. If you wish to be kept informed of our activities, you can voluntarily provide us with your name and e-mail address. We may also collect information about you online via cookies when you visit our websites.

VIL collects: IP address and information transmitted by cookies or similar technology.

Why:This analytical data helps us better understand visitors to our websites so that we can improve our websites for everyone.

Sign-up for a VIL event

If you wish to attend one of our events, we ask you to complete a registration form on our website.

VIL collects: company name, name, job title, email address, phone number and billing information.

Why: To register your registration correctly, we need your name, company name and job title. Your e-mail address is used to keep you informed about the event and to send you a final confirmation e-mail a few days beforehand with all practical details (such as directions and parking facilities). VIL will request your billing details to send you an invoice if you are not allowed to attend the event free of charge.

Sign-up to our mailing list

If you want to be informed about our activities (events and newsletters), you can register via our website.

VIL collects: name, e-mail address and company name (optional).

Why: VIL needs this data to be able to reach you. All newsletters and event invitations are sent by e-mail.

Web shop

If you purchase knowledge documents through our web shop, we ask you to provide data so that we can process the purchase.

VIL collects: name, company name (optional), address, phone number and email address.

Why: VIL uses this information to process your transaction, track your purchase, provide assistance with any problems. Processing your personal data for this purpose is necessary for the performance of the agreement we have with you. Please note that VIL does not store payment or credit card details. Payment details are used solely in connection with your purchase.

Contact with a VIL employee

If you make contact with a VIL staff member and give him or her your business card, VIL will keep this information in its database. After meeting one of our staff members, you will receive an e-mail asking if you wish to be kept informed of our activities. Only when you consent to this question, by clicking on the confirmation, will your data be included in our mailing list. If you do not do so, you will not receive our newsletters and invitations to our events.

VIL collects: the data listed on your business card: name, company, job title, e-mail address, telephone number and address, if any.

Why: To be able to reach you smoothly in the context of a cooperation and to give you the opportunity to follow our activities further.

4) Your rights as an involved party

You always have the right to withdraw your consent at any time, without prejudice to the lawfulness of processing based on consent before its withdrawal.

You may have your data amended, completed or deleted at any time. You can notify us by sending an e-mail to privacy@vil.be.
